Someone has granted you permission to access one of their calendars and you want to open it in Outlook 2016 for Mac. Here's how:

Important: To open another person's calendar, both you and the other person must have a Microsoft Exchange account and the account owner must grant you permission. Permissions range from co-owner to view-only.

  1. At the bottom of the navigation bar, click Calendar.

  2. On the Organize tab, click Open Shared Calendar.

    Note: If the Open Shared Calendar or Calendar Permissions buttons are unavailable, you might need to change one of your settings. See You cannot open a shared calendar in Outlook 2016 for Mac for instructions.

  3. In the Search box, type the name of the person who has granted you access to their calendar, and press Enter.

  4. Select their name, and click Open.

    Note: The shared folder appears in the left navigation pane under the Shared Calendars heading, with the person's name who shared the calendar below it.

  • 2017-7-28  If both recipients are using the Exchange account in Outlook for Mac, we should not directly open the xml file to view the shared Calendar. Follow the steps below to open it on Mac: At the bottom of the navigation bar, click Calendar; On the Organize tab, click Open Shared Calendar.
  • Calendar sharing in Office 365. There are no changes to shared calendars when one person's calendar is hosted in Exchange on-premises. If the user views the shared calendar on Outlook for Mac, they'll see the new sync experience if the calendar was added by accepting a sharing invitation.

  • If you have a shared calendar selected in the navigation pane, new items you create will be saved in that calendar.

  • To remove another user's shared calendar from your navigation pane, right-click the folder, and then click Remove from View.

  2. In the Folder Type list, click Inbox, Calendar, or Address Book.

  3. In the Search box, type the name of the person who granted you access, click the person's name in the search results, and then click Open.

    The shared Mail folder appears in the Folder pane. The shared Calendar appears in the Folder pane under the Shared Calendars heading. The shared Address Book appears in the Folder pane under the Shared Contacts heading.

    Notes:

    • If you receive the message 'Outlook was redirected to the server autodiscover-s.outlook.com to get new settings for your account.' choose Always use my response for this server and click Allow.

    • If you have a shared folder selected in the Folder pane, new items that you create are saved in that shared folder.

    • To remove another user's shared folder from your Folder pane, hold down Control, click the folder, and then click Remove Shared Account.

  3. Type the name of the person who granted you access, click Find, click the person's name, and then click OK.

    If you have multiple Microsoft Exchange accounts, on the Account pop-up menu, click the account that you want to use to open the other user's folder.

  4. On the Type pop-up menu, click Calendar, Address Book, or Inbox, and then click OK.

    The shared folder appears in the navigation pane under the Shared heading.
